Zencal is the first tool among my best Acuity Scheduling alternatives. And I’m not saying this because I’m its creator.
Over the last seven years, I’ve used many meeting scheduling tools to book meetings and sell my services. However, I noticed most didn’t offer the most crucial features I needed.
That’s why I created Zencal, a meeting scheduling software that allows you to create branded booking pages, offer free and paid consultations, manage clients, and automate your scheduling.
But don’t take me at my word; let’s create a booking page and see why Zencal is better than Acuity Scheduling.
From your Zencal dashboard, go to Meeting Topics and create a new booking page.
Name your meeting page and click “Collect Reviews” to collect and display reviews from attendees after meetings.
Scroll down and choose your preferred meeting time and location. I set mine to 15 minutes and chose Google Meet.
Now, in the Advanced Settings, choose your booking page layout and the maximum number of daily bookings. You can also add a link to a custom thank you page.
Next, set your rescheduling and cancellation policies. Here, you can indicate the number of hours or days before an attendee can postpone or cancel a meeting.
Now, let me show you one of my favorite features.
Have you ever had a call with a lead only to find out that they are not the right person to work with? It happened to me many times.
That’s why I made sure to include screening questions in Zencal. This feature lets you ask essential questions to pre-qualify leads before the meeting.
However, unlike other Acuity Scheduling alternatives, Zencal allows you to add custom questions, like numbers, websites, single choice, multiple choice, and checkboxes.
In the notification panel, turn reminders on or off or create a custom message.
Of course, the best meeting scheduler software must allow you to showcase your portfolio. You can add up to 20 images.
Your booking page is ready. You can invite people to book a meeting, embed it on your website, create a QR code, or delete it.
Here is the booking page I just created with Zencal. It shows the page name, meeting host and place, time zone, and more.
When the attendee chooses a time, they can enter their name, email address, and phone number and leave a note.
Do you remember the questions we added to our form? The attendees will have to answer them before booking the call.
You can play with this page by booking meetings (as an attendee) and receiving notifications. It’s a demo booking page. We will not attend the meeting, retain your email address, or contact you.
There are a lot of Zencal features to cover, but let’s discuss the most important ones that will change how you book meetings.
1. Clients
The Clients feature is one of my favorites. Here, you can see the people who booked meetings through your scheduling pages.
When you click “See Details,” you will see more information about the client, like name, email address, and phone number. Zencal will indicate how much the client spent if you offer paid calls.
2. Branding
We want you to create a unique experience for your clients. As such, we added a dedicated branding section to Zencal.
Add your logo and cover image.
Customize your call to action (button) by adding a custom text and link.
Last but certainly not least, use your brand colors and social media.
All these features and more make Zencal the best Acuity Scheduling alternative.
Setmore is next on our list of the best Acuity alternatives.
It helps individuals and businesses create and embed meeting scheduling pages, set up paid meetings, manage an all-in-one calendar, and display customer reviews on their booking pages.
However, creating a booking page is one of the main reasons you seek an alternative to Acuity Scheduling. So, let’s make one together.
Editing your branding is the first thing to do before customizing your page. Go to Settings > Your Brand and upload your company logo. Edit your business name, industry, and company description.
Add your brand colors and choose a button shape. You can also use the Gallery section to showcase your skills or past work. Finally, add your email address and phone number to help customers contact you.
There is also an option to add your company or personal address and payment currency.
The last step is choosing your business hours. Like every booking page creation tool, Setmore lets you choose your working hours and days. I set mine to Monday-Friday, 8:00 am to 5:00 pm.
Click Save in the top right corner to save your changes.
Now, let’s customize our booking page. From Settings, go to ‘Booking Page’ to set your policies. For example, you can choose the number of days customers can schedule or cancel an appointment in advance.
In the Booking Preferences, choose the sections that will be visible on your booking page. You can choose between appointments, classes, services, and more.
There are more settings to cover, but I first wanted to share the booking page I created with Setmore. I will discuss the page creation in detail in the Features section below.
1. Booking Page
Setmore provides a “Booking flow” setting that lets you choose what happens before and after a booking.
For instance, you can allow customers to book multiple services or let Setmore automatically assign an appointment to a team member.
With the Contact fields setting, choose the information you want to collect from attendees, such as name, email address, home address, and more.
Finally, indicate services and classes to display on your page. If you offer online courses, check the options:
2. Services
This feature allows you to create the services you want to offer, like a 15-minute call, website audit, or web design session.
I can also enter the cost of the meeting. Unfortunately, you must use a paid plan to integrate video conferencing tools like Zoom or Meet.
Your service will appear in the Service tab. Now, go to Classes to add class sessions (if you offer online classes).
The interface is similar to the Service one. However, there is an option to add the number of people that can attend the class.
These services and classes will appear on your booking page.
3. Calendar
Setmore comes with a Google Calendar-like interface where you can create new appointments. Here, you choose if the appointment is a session (meeting), class, event, or reminder.
4. Customers
Like Zencal, Setmore also provides an interface to see your customers. These are people who booked free or paid sessions or purchased classes.
You can see critical information like their name, email address, and company. Plus, Setmore shows past and future appointments.
Reclaim AI is one of the most popular meeting scheduling apps known for its Planner to plan your work and Tasks to create and manage tasks. And thanks to its Priorities feature, you can prioritize your tasks and meetings by critical, high, medium, and low priority.
Once again, I wanted to see if Reclaim AI had better features than Acuity Scheduling. As such, I decided to create a booking page first.
Now, if you read my article on the best Calendly alternatives, you already saw how I created a booking page with Reclaim AI. But I want to show you the process here as well.
The first step is to go to Scheduling Links and click New Link.
Name and describe your page, and add your teammates. Adding teammates allows them to compare their work calendars with other employees’ calendars to see if a meeting time suits everyone.
Choose your preferred meeting location under “Videoconferencing & location.” In this case, I selected Google Meet and Zoom, but you can also add a physical address to meet in person or a phone number for a call.
Next, choose a suitable meeting duration, like 30 minutes or 1 hour.
I also set my rolling time window to 30 minutes. This means attendees can only book meetings 30 minutes in the future (if it’s 9:00 am, they can only book at 9:30 am).
In the Link Settings, you can create a custom link for your booking page and set a reminder email.
Finally, click Save to create your booking page with Reclaim AI.
Now that we’ve created our booking page with Reclaim AI, let’s discuss more features that make it one of the best Acuity alternatives.
1. Planner
Planner provides an interface that looks just like Google Calendar. Here, I can create and manage new tasks. Unfortunately, you cannot create new meetings from the Planner, but you can see existing ones.
Even if someone invited you to the meeting or you created it in your Google Calendar, you can see the duration, date, attendees, and link.
2. Advanced Reporting
The reporting tab displays important metrics for better booking management. For instance, it shows how you spent time on tasks and meetings: Team meetings, external meetings, one-on-ones, breaks, deep work, and shallow work.
Reclaim AI will track your focus time, habits, tasks, and meetings.
I couldn’t complete this list of the best Acuity Scheduling alternatives without mentioning You Can Book Me.
You Can Book Me is an online platform that allows businesses to create and manage scheduling pages as a team, manage past and upcoming calls, and take payments.
But there is more. Users can customize their pages by adding their company logo. They can also automate scheduling by integrating You Can Book Me with Zapier.
Now that we know the most essential features, let’s create a booking page in You Can Book Me.
From the dashboard, click “Create booking page.”
Name, describe, and create a URL.
Add your company logo and choose your preferred layout. The layout is how people view your page: weekly, monthly, or agenda.
Next, I will choose the length of my meetings. Unfortunately, You Can Book Me doesn’t let me select multiple meeting times. Under “Typical Schedule,” I’ll choose my working hours and days.
In the next tab, the tool will ask you to connect your Google, Microsoft, iCloud, Fastmail, Fruux, or CalDAV calendar.
Finally, choose a meeting location: Zoom, Google Meet, In-person, phone, or a static video link.
And there you are; you’ve just created your first booking page in YouCanBookMe.
1. Bookings
The Bookings tab allows you to see your current and past bookings. You can also filter them by undecided, canceled, no-show, or booking page.
After clicking on an appointment, you will see additional information like the meeting date, attendant name, and email address. Using this tab, you can rebook, reschedule, or cancel the booking.
2. Pages
Thanks to the Pages tab, I can view my active and inactive appointment pages. I can share, delete, disable, or duplicate them as well.
3. Templates
Why retake the same steps to create a new reservation page? Transform your current reservation page to a template or create one from scratch.
Last but certainly not least is Sidekick AI.
This Acuity alternative helps online and offline businesses create and organize meetings, manage clients and contacts, and use reporting to analyze meeting activities.
My first impression of Sidekick was positive. Still, I do not like its bright blue color because it strains my eyes. I also wish there were a way to expand the left menu and keep it visible.
But despite this first impression, I wanted to create an appointment page and test Sidekick AI further. The goal was to see if it was an excellent alternative to Acuity Scheduling.
So I clicked “New Page” and connected my Google Calendar.
Sidekick provides a very different creation experience; everything happens in the right panel. It’s probably not the best choice because most humans prefer left (left-gaze bias) and middle screen.
So, I named my page and created a URL. I also chose my availability (I work from Monday to Saturday, 9 am to 5 pm).
Next were the reminder settings and meeting duration. For some reason, I couldn’t change the default meeting reminder time of 1 hour. However, I could edit the Buffer time and allow guests to schedule a meeting on the same day.
Next, I picked Google Meet as the online meeting location and described my page. Additionally, I added meeting questions to help me assess the attendant business value.
Finally, I created my first booking page with Sidekick.
1. Meetings
The Meetings feature allows me to see my past and upcoming meetings. Thanks to the calendar on the left, I can view meeting details on a specific date.
2. Locations
“Locations” is one of my favorite features in Sidekick AI. You can add key physical locations of your business, like your shop or office.
Alas, I couldn’t select the location on the map manually. The only option is to search for it manually, as I did for the Statue of Liberty in the screenshot below.
However, once selected, the location will appear on the left side of the screen. Click on it, and Sidekick will automatically move the map to the area.
I really like this feature, but sadly, it’s not helpful. The location doesn’t achieve anything; you cannot share or add it to your booking page. But it’s still one of my favorite Sidekick features because it can be a potential selling point.
I didn’t have an outstanding experience with Sidekick AI because of its bright blue color. Moreover, having the booking creation panel on the right side of the screen wasn’t a good idea.
I also didn’t like the page creation process and overall tool’s design experience; it didn’t feel premium. It gave me the feeling of using a free and cheap tool.
However, it’s a good tool for booking and managing meetings. Plus, its free plan allowed me to book unlimited meetings.
